Job Description:
The Administrative Assistant is responsible to perform a wide variety of administrative duties to assist full-time professional staff members within Student Accessibility Services (SAS), a unit in the Center for Student Academic Success (CSAS).
Essential Functions/Characteristics
Convey information and answer questions related to SAS procedures at RWU to prospective and current students and families as well as faculty and educational consultants (phone calls, walk-ins, e-mails).
Assist the Director in routine office functions. Participate in initial intake of information with prospective students and their families.
Work with new students in providing an overview of the office and services available.
Assist the SAS department with the security of confidential materials including but not limited to medical/disability related information, student files as well as assessments be proctored.
Responsible for all aspects of the recruiting, hiring, scheduling, training, monitoring, and payroll details of office assistants.
Supervise and provide on-going feedback for work study students.
Work with Director to develop training materials for new hires.
Serve as a first contact for current students, faculty, and prospective students related to disability policies and procedures.
Responsible for operational activities related to the testing space, including receiving exams from faculty, logging in./out test-takers, maintaining integrity of testing area, and maintenance of equipment.
Process payments and initiate contracts for student support vendors (e.g. sign language interpreters, C-print, note takers, etc.)
Maintain all SAS files throughout calendar year, which includes creating and organizing new student files (including database records), maintaining records, and organizing office records.
Maintain SAS database Work with University Resource Planning (ERP) system, and provide support using Microsoft Office suite.
Assist the Director to ensure the timely and effective operation of the Student Accessibility Services area including the communication of services and delivery of identified accommodations.
Assist staff in recruiting and managing note-taking assistance. Ensure that note-takers receive acknowledgement and compensation at end of each semester.
Prepare payroll information for student workers.
As requested by the Director, communicate with various outside offices to ensure delivery of student support services.
Assist with prepare for SAS student and family sessions for New Student Orientation, including all logistics and email notification to incoming families.
Input and reconcile all General Ledger expenditures according to established department procedures in preparation for monthly review with Director. Utilize University system for budgeting and expenditures.
Coordinate travel arrangements for professional staff including working with outside vendors to secure flights, hotels, and conference details.
Receive, route, sort, and deliver incoming mail. Answer, screen, take messages, and route telephone calls with attention to customer service.
Maintain and report disability related work study hours to the Financial Aid Department in order to meet their federal requirements.
Maintain calendars for assigned staff. Schedule necessary meetings.
Access, maintain and perform data entry duties in order to support departmental databases.
Order and maintain adequate supplies for efficient operation of the Center. Process all requisitions and corresponding billing according to established departmental procedures.
This is a full-time (35 hours) 11-month PSSA Level 3 Clerical Union position.
Job Requirements:
An Associate's degree or equivalent based on experience.
A minimum of 3-5 years of increased responsibility in an office setting.
Ability to work with little or no supervision.
Ability to be a flexible thinker who can quickly shift priorities and tasks as needed.
Ability to be highly organized and work in a team-oriented fast-paced environment.
Attention to detail with excellent communication skills.
Sensitivity to the various needs of students with disabilities from a wide range of backgrounds and experiences.
Must demonstrate critical thinking skills and sensitivity to working with a broad array of students with wide ranging needs and backgrounds.
Demonstrated ability to learn and efficiently use complex computing applications on systems and programs, including the University's enterprise computer system, Microsoft Office and disability related database systems.
Preferred Qualifications
Bachelor's degree preferred in Special Education, Rehabilitation Studies, Social Services, or related field.
Experience working in a university environment.
At the University's discretion, the education and experience prerequisites may be excepted where the candidate can demonstrate, to the satisfaction of the University, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
